Create a Partner (and Invite Them)
You create advisory partner accounts from the admin console and invite them to sign in. Partners are created one at a time (there's no bulk CSV import for partners). This guide covers creating and inviting a partner. π‘ Tip β Who can use this For platform admins, under Partners. Enter the partner's full name, email, and (optionally) their firm. Fortis Pulse creates the partner account and sends a magic-link sign-in invitation to their email. Once created, you can edit the partner's profile β photo, expertise domains, bio, LinkedIn/website links, max clients, and firm association. π Note β There's no partner CSV bulk upload Partners are created individually. The only CSV import in the admin console is for benchmarks. If you need to add many partners, create them one at a time or have a firm admin invite them through the firm portal. π‘ Tip β Assign them to clients after creation Creating a partner doesn't assign them to any client β that's a separate step (done during onboarding approval or from an org's Advisory Team section). Plan to assign newly created partners to their client engagements right after creating them.
Edit a Partner's Profile & Photo
You can edit a partner's profile details β photo, expertise, bio, links, capacity, and firm β from the admin console. This guide covers editing partners. π‘ Tip β Who can use this For platform admins, under Partners. An inline form opens letting you update: - Photo β upload a profile photo. - Expertise Domains β toggle the advisory domains they cover. - Bio β their professional summary. - LinkedIn URL and Website URL. - Max Clients β their capacity. - Firm β their firm association. Save to persist. Partners can also self-edit most of these from their own settings. π Note β Photo uploads use the partner-photos bucket Partner photos are stored securely and served via a public URL. The upload replaces any previous photo. π‘ Tip β Keep expertise domains current The expertise domains drive the partner-suggestion ranking during client onboarding. Keeping them accurate ensures the right partners are suggested for the right domains.
Create & Edit a Firm
Firms group advisory partners and the clients they sponsor. You create and manage firms from the admin console, including their members and capacity limits. This guide covers firm management. π‘ Tip β Who can use this For platform admins, under Firms. Quick reference | Step | Action | |------|--------| | 1 | Create a firm and manage its details, members, and capacity | Step 1 β Manage firms Go to Firms to see all firms with their member counts and capacity utilization. Click New Firm and enter a name (the slug generates automatically). Opening a firm's detail page lets you manage: - Firm Details β name, slug, logo URL, primary contact. - Capacity Limits β four editable controls (Clients, Partners, Team, Frameworks), each showing current usage versus the max. Changes are audited. - Members β the firm's partners and team members. You can assign an existing unassigned partner, invite a new partner (scoped to this firm), or remove a member. π Note β System firms are special Some firms are marked as "System" (for example, the firm that owns the FORTIS framework). System firms have a badge and may have different edit constraints. Most firms you create are regular (non-system) firms. π‘ Tip β Watch capacity utilization The firm list shows a color-coded capacity dot (neutral/amber/red) per firm. Amber or red means a firm is approaching or at a capacity limit β check in before they're blocked from adding clients or partners.
Manage Firm Members & Capacity
On a firm's detail page, you manage its members and its four capacity limits. This guide covers both. π‘ Tip β Who can use this For platform admins, on a firm's detail page. Changes are validated (non-negative integers) and audited. Members β the firm's partners and team members. You can assign an existing unassigned partner, invite a new partner scoped to this firm, or remove a member. π Note β Capacity changes are audited Each capacity-limit change writes a firm.capacity_limits_updated audit row with the old and new values, so there's a clear trail. π‘ Tip β Raise limits before the firm hits them If a firm is approaching a capacity limit (amber/red indicator on the firms list), raise it proactively so they're not blocked mid-onboarding. Coordinate with the firm on what they actually need.
Create & Manage Users
You can create user accounts and manage their roles, organizations, and firm associations from the admin console. This guide covers user management. π‘ Tip β Who can use this For platform admins, under Users. Quick reference | Step | Action | |------|--------| | 1 | Create users and adjust their role/org/firm | Step 1 β Manage users Go to Users. You can Create New User with an email, full name, role (client, partner, firm_admin, or admin), optional organization, and (for partners/firm_admins) a firm. The table shows all users with their name, email, role, organization, and firm. Per-user inline controls let you change a user's role, assign an organization, or assign a firm (shown only for partner/firm_admin rows). π Note β Role changes affect access Changing a user's role changes what they can access (e.g. promoting to admin grants console access; demoting to client restricts them to the client app). The role is the primary access control. π‘ Tip β Assign org/firm when you set the role A user's role is most useful with the right organization or firm assigned. When creating or editing a user, set the role and its associated org/firm together so they land in the right workspace.
Change a User's Role
You can change a user's role (client, partner, firm_admin, admin) from the Users page. This guide covers role changes. π‘ Tip β Who can use this For platform admins, under Users. Quick reference | Step | Action | |------|--------| | 1 | Use the role dropdown on a user row | Step 1 β Change a role On the Users page, each row has a role dropdown. Choose the new role (client, partner, firm_admin, or admin). The change applies immediately and determines what the user can access on their next sign-in. π Note β Role drives routing and access The role determines which app the user lands on after sign-in (clientβ/client, partnerβ/partner, firm_adminβ/firm, adminβ/admin) and what they can do. It's the primary access control. β οΈ Warning β Be careful promoting to admin The admin role grants platform-wide control. Only assign it to trusted staff. Demoting an admin to a lower role immediately revokes their console access. π‘ Tip β Set the org/firm to match When changing a role, also set the associated organization (for clients) or firm (for partners/firm_admins) so the user lands in the right workspace.
Suspending and Reinstating a Firm
When a firm falls behind on its account (firms on external invoicing pay outside the platform), you can suspend it. Suspension immediately locks the firm's admin portal, and every partner workspace tied to that firm's client engagements β while leaving you, the platform admin, in full control. Nothing is deleted; reinstating the moment the firm settles takes one click. π‘ Tip β Who can use this Platform administrators, from the firm's detail page under Firm Management. The built-in System firm cannot be suspended. Quick reference | Step | Action | |------|--------| | 1 | Open the firm and scroll to Suspend Firm | | 2 | Enter a reason and click Suspend Firm | | 3 | Click Confirm Suspend | | 4 | Reinstate the firm when it has settled | Step 1: Open the firm's page From the admin console, go to Firms and click the firm you need to act on. The Suspend Firm card is the last section on the firm's detail page, below Members. The Suspend Firm card at the bottom of the firm detail page π Note β What suspension locks The firm's own portal, its partners' access to that firm's client workspaces, and the firm's client accounts. Partners keep working on engagements belonging to other (paying) firms, and you keep full admin access to everything. No data is deleted at any point. Step 2: Enter a reason and arm the confirmation Type a reason for the audit log (at least 10 characters), then click Suspend Firm. The button flips to a confirmation state so a slip of the mouse can't suspend a firm. The confirmation state after clicking Suspend Firm Step 3: Confirm the suspension Click Confirm Suspend. The page immediately shows a red suspended banner with your reason, and the firm's portal, partners, and clients see their lock screens on their next visit. The suspended banner shown at the top of the firm page β Important β The firm's clients see a specific message Clients of a suspended firm are told their firm is inactive on the platform and to contact their firm administrator. The firm's admins are told to contact the Fortis Pulse team. Both keep a Log out option on that screen. Step 4: Reinstate the firm Once the firm has settled its account, return to the same page. The card now offers Reinstate Firm β confirm it, and every lock lifts instantly. The full suspend/reinstate history is recorded in the firm's activity log. The Reinstate Firm card shown while the firm is suspended β οΈ Warning β Suspension and deactivation are different things Suspending a firm is your platform-level action for a firm in default. Deactivating an individual client is the firm admin's action from their own portal (see "Deactivating and Reactivating a Client"). A suspended firm locks everyone; a deactivated client locks just that client.
